Your spreadsheets got you here. They won't get you to where you're going next.

Simplify is for small service businesses that have outgrown the way they currently operate. I find the right tool for your team, translate your processes into it, and train everyone so it actually gets used.

You know it's not sustainable. You just haven't had time to fix it.

The spreadsheets made sense when it was just you. You knew where everything was. You could hold it all in your head.

But now there's a team. And the way you work - the processes, the client details, the booking information, the follow-ups - it all still lives with you. In your head, in your inbox, in a spreadsheet only you really understand.

You've got a new starter and you're already dreading the onboarding because there's nothing to actually hand over. You're going to have to sit with them for days explaining things that should be written down somewhere, in a system that anyone could follow.

Or you've hit a wall. You're at capacity because the admin of the work you already have is eating the time you'd need to take on anything else. Hiring another person feels pointless if the systems can't support the team you already have.

Either way, you know this needs to change. The challenge is that figuring out which tool to use, setting it all up properly, and getting your team actually using it - that's a project in itself. And you haven't got the time.

That's what Simplify is for.

The right tool, built around the way you actually work.

Most people who try to fix this themselves start by Googling "best project management tool" and end up more confused than when they started. There are dozens of options. They all look similar in the screenshots. The free trials are hard to evaluate without already knowing what you need.

I do that work for you.

Before I recommend anything, I learn how your business operates - the processes, the workflows, the way your team communicates, the tools you're already using and want to keep.

Then I research the options properly, assess them against your specific situation, and come back with a clear recommendation you can trust - not because it's my favourite tool, but because it fits your business.

Then I build it. I translate your existing processes into the new system so that it works the way your team already thinks instead of the way a generic template assumes you work. And I train everyone on it properly so the system actually gets used, instead of becoming something your team quietly works around.

How Simplify works

1. Discovery

We start with a proper conversation about how your business operates right now: the processes, the workarounds, the things that work well and the things that don't. I want the full picture before I make a single recommendation. I'll ask questions you and your team might not have thought to ask themselves.

2. Research

Once I understand your business, I go away and do the research. I review the platforms that could work for you by looking at what they can and can't do, how they'd handle your specific processes, what they'd cost, and whether they're stable platforms with a reliable track record. I'm not loyal to any tool. The right one is the one that fits your business.

3. Recommendation

I come back to you with two or three options and a clear recommendation. You'll understand exactly why I'm recommending what I'm recommending, what each option covers, and what - if anything - it doesn't. You decide. Nothing moves forward until you're confident.

4. Build

I build the system around your processes (your workflows, your templates, your team structure) all translated into the new platform properly. Your team can use it from day one. I document everything clearly as I go, so when someone new joins, there's something to actually hand over.

5. Training and handover

A live training session with your team so everyone is confident using the new system from day one. Plus a recorded walkthrough they can come back to whenever they need it. The goal is for this to become the way your business runs — not something people have to be reminded to use.

Want me to stay on?

Once your system is built and your team is using it, most clients find they want someone to call when things change - a new team member joins, a process shifts, a new tool needs connecting.

After a Simplify project, I offer ongoing retainer support for businesses that want me to maintain and develop their systems over time. It's a practical arrangement for a growing business: you get a trusted pair of hands without having to brief someone new every time something needs updating.

If this sounds useful, we can talk through what that would look like towards the end of your Simplify project.

Simplify is for you if:

  • You run a service business with a small, established team.
  • You've built something you're proud of but the systems haven't kept up with where the business is now.
  • You're still running on spreadsheets and email threads and you know it's not sustainable.
  • You need to trust that whoever is building this understands your business and will build something your team can actually use.
  • You're ready to invest properly in getting this right. And you want it done once, done well, and done in a way that lasts.

Investment

Simplify projects start from £2,500.

Every Simplify project is scoped individually because the right solution depends on the size of your team, the complexity of your processes, and the platform we agree on.

To get started, fill out an application below.

If it's a good fit, I'll invite you to a discovery call where we'll talk through where your business is, what's not working, and what a proper system would involve and I'll come back to you with a clear scope and a fixed price before anything begins.

FAQs

  • How is Simplify different from your other services?

Simplify is for smaller businesses that are ready to move beyond spreadsheets and set up a proper system for the first time.

If you already have tools in place but they aren't connected and your team is duplicating effort, Evolve is likely a better fit.

  • Do I need to know which tool I want before we start?

No and honestly, it's better if you don't.

Part of what I do is make sure the recommendation fits your business rather than a tool you've already decided on.

I've seen too many businesses invest in the wrong platform because it was the one they'd heard of. The research stage exists precisely so that doesn't happen to you.

  • Will I be able to maintain it myself after the project?

Yes. Everything I build is documented clearly, and the training session is designed to make sure your team is genuinely confident — not just shown where the buttons are.

If something changes down the line and you need support, retainer options are available for exactly that.

  • What if we don't end up using all the features?

That's fine. I won't build anything your team doesn't need.

The goal is a system that gets used, not one that's clever and overwhelming.

    Simpler is always better.

  • How long does a Simplify project take?

Most Simplify projects run between three and six weeks, depending on the complexity of your processes and the platform we agree on.

We'll agree on a realistic timeline before anything begins.

  • What does the quote include?

Your quote will clearly set out the scope of work, the platform, the timeline, and the investment. Nothing will be vague or open-ended. You'll know exactly what you're getting before you commit to anything.
